System map — how the pieces connect
Running a studio means juggling project boards, chat, file sharing, client status updates, credentials, and a sales pipeline. Off-the-shelf, that's four or five per-seat subscriptions that don't talk to each other.
The worst of it is client communication: status lives in your project tool, but the client hears about it over email, so someone is always re-typing progress reports.
We built our own operations workspace and run the company on it every day. Projects, kanban tasks with priorities and blockers, channel and DM chat with attachments and reactions, file storage, a content pipeline, and a lead tracker share one database.
Clients get a tokenized portal link — no account, no login — showing live project progress, updates from the team, and exactly the tasks and files we've marked client-visible.
Credentials and API keys live in a built-in vault, encrypted at rest, scoped per project. Push notifications reach the team's devices when something needs attention.
The team
- Plan projects on kanban boards with priorities, due dates, and blocked flags
- Chat in channels and DMs with attachments, reactions, and guest access
- Track leads from first contact to close with follow-up reminders
- Store credentials in an encrypted, project-scoped vault
- Get push notifications on their devices when something needs attention
Clients
- Open a live progress portal from a single link — no account needed
- See project updates, progress, and client-visible tasks and files
- Read updates the moment the team posts them, not in a weekly email
Built with
What changed

- Clients follow progress through live portals instead of status-update emails
